Automation demos focus on the happy path. A production decision should begin with duplicate events, expired credentials, rate limits, partial updates and missing data. The best platform is the one the team can observe, repair and govern at the complexity it truly needs.

Zapier is often approachable for common app-to-app workflows. Make emphasizes a visual scenario canvas and detailed data routing. n8n is attractive when technical control, extensibility or self-hosting is important. These are shortlist positions, not universal rankings.

The pricing unit matters

Automation platforms meter work differently, such as tasks, operations or workflow executions. Translate each model into the same representative workflows. A ten-step process, branching scenario and high-volume trigger may produce very different bills even when headline prices look similar.

Include premium connectors, polling frequency, data transfer, history retention, support and administrator time. For self-hosting, include infrastructure, patching, backups and incident ownership.

Match control to team skill

A business-operated automation layer needs understandable naming, documented owners and simple recovery. A developer-operated layer may justify code, version control, environments and deeper customization. Choosing more flexibility than the team can govern creates hidden operational debt.

Security and data boundaries

Inventory the systems and data touched by every workflow. Review credential storage, permissions, auditability, retention, regional requirements, subprocessors and the ability to isolate development from production. Grant the smallest practical access to each connection.

Run three representative automations

Build a simple two-app workflow, a branching workflow with transformations and a recovery workflow that deliberately fails. Measure build time, successful handling of duplicates, debugging effort, alert quality and the steps required to replay safely.
